Use local time and include the timezone. A record such as “August 24, 2026, 2:18 a.m. PT” is easier to compare with weather, building alarms, and contractor records than “last night.”
How to Describe the Interior Location Precisely
“Leak in Unit 204” is rarely enough for a large suite. Use stable references that another person can find without the original reporter present.
Record:
- Floor, suite, room, bay, corridor, stairwell, or grid line
- Approximate distance and direction from exterior walls, columns, doors, or fixed equipment
- Ceiling type and approximate height where relevant
- Whether the symptom is below a roof, wall, terrace, mechanical room, or upper-level space
- A marked floor plan, even if it is a simple screenshot of the property plan
- Any nearby plumbing, HVAC, sprinkler, drain, or envelope component, without assuming it is the source
For repeated incidents, use the same location name each time. Switching between “north office,” “accounting,” and “Room 2A” can hide a recurrence that would be obvious in a consistent record.
Record Weather and Timing Without Guessing
Weather context can help distinguish patterns, but it should be factual. Capture what the reporter observed and, if useful, add verified public weather data afterward.
Useful details include:
- Whether precipitation was active when the symptom appeared
- Approximate start, stop, or change time
- Wind direction or wind-driven rain only if it was actually observed or verified
- Snow accumulation, thaw, or a rapid temperature change
- Whether the symptom continued after precipitation stopped
- Whether the area also shows moisture during dry conditions
Environment and Climate Change Canada's Historical Climate Data provides past hourly and daily records for Canadian weather stations. Note which station and observation interval were used, because the nearest station may not reproduce conditions at the roof.
Do not delay the service call while assembling a perfect weather history. A simple timestamp and “active rain,” “rain ended approximately 30 minutes earlier,” or “no precipitation observed” is enough for initial intake.
Take Photos That Preserve Context
Photographs are most useful when they move from context to detail. If it is safe to do so from the interior, take:

- Drainage blockages, overflow observations, or ponding reported in the same period
- Seasonal or wind-direction patterns
Link the incident to the related work order rather than rewriting history from memory. If a previous repair location is unknown, say so. An incomplete record is still useful when its uncertainty is clear.
Repeated symptoms do not prove that the same defect has returned.
